  • Overview

    The Human Resources Administrator will be responsible general administrative and operational support for the Human Resources department. This role will work closely with the HR leadership team and report directly to the Head of HR and assist in day to day operations.

     

    Essential Functions

    General Administrative Duties

    • Maintain legal/corporate records in the share drive and update as needed
    • Save copies of monthly invoices for the department in share drive
    • Scan and upload executed contracts and agreements in share drive
    • Organize and track Company documents (contracts, policies, correspondence, etc.)
    • Prepare/proofread documents for distribution
    • Coordinate delivery of approved agreements to internal team members
    • Create yearly budget with Sr. Director, HR and adjust forecast quarterly with Finance in partnership with Compensation Manager
    • Build appropriate accruals for monthly legal spend by obtaining estimates to provide to accounting
    • Prepare invoices, code for Accounts Payable and track payments as needed
    • Manage invoices for vendor payment and new vendor set up
    • Review and coordinate mail, invoices and other materials
    • General administrative work for Sr. Director, HR to include preparing expense reports
    • Manage ServiceNow tickets, as appropriate, to ensure an exceptional experience for our internal partners and candidates

     

    Talent Acquisition Support:

    • Assist recruitment team with scheduling interviews and developing interview schedules for internal and external use
    • Assist with the coordination of new hire onboarding (background check, onboarding forms, 1st ay instructions, IT set up, etc.)
    • Coordinate candidate travel arrangements with in-house travel team, and will greet candidates arriving for interviews
    • Communicate with candidates on application status and respond to candidate inquiries
    • Coordinate hiring manager and candidate surveys
    • Process employee referral bonus weekly
    • Initiate relocation requests to third party for new hires

    Knowledge, Skills, Abilities and Physical Requirements

    • High school diploma with some college courses preferred, plus three (3) years of experience in high volume HR department, or an acceptable combination of education and experience
    • Positive, can-do attitude with the ability to flex based on business needs.
    • Demonstrated ability to maintain a high level of confidentiality
    • Proficiency in Microsoft Outlook, Word; knowledge of applicant tracking systems preferred
    • Advanced Microsoft Excel skills required
    • An outstanding eye for detail with a drive to provide exceptional administrative support
    • Excellent interpersonal skills, telephone and email etiquette
    • Ability to organize and manage multiple tasks/projects
    • Ability to work in a detail- and deadline-oriented environment

    • Most work is performed in a normal office environment
