  • Overview

    The IT Department Administrator will be responsible for general administrative and operational support for the IT department.  This position will assist in the management, coordination and financial analysis of each IT decision as well as ensuring all Capital Projects and expenditures of such projects are accurately forecasted and tracked every period. In addition, this position will apply accounting principles to analyze financial information and prepare financial reports with regard to the Departments spending. This position will prepare the reports and reconciliations necessary to provide an accurate and transparent reporting of the Department’s expenditures. These processes are time sensitive, deadline driven, and deal with sensitive and confidential information. This role will work closely with the IT leadership team and report directly to the Senior Director of IT and assist in day to day operations.

    Essential Functions


    • Manage invoices for vendor payment and new vendor set up.
    • Prepare invoices, code for Accounts Payable and track payments as needed
    • Build appropriate accruals for monthly IT spend by obtaining estimates to provide to accounting
    • Provide reconciliation of vendor aging statements to minimize past due payables
    • Reconcile expenditures every period in regards to all CAPEX projects and enter corrected data into the CAPEX tracking spreadsheets and report corrections every period to the Finance department
    • Make accurate adjustments to projected cash flow as corrections are being made to the CAPEX tracking/cash flow spreadsheets
    • Create yearly budget with CIO and IT Leadership team, and adjust forecast quarterly in partnership with Finance and Accounting
    • Maintain legal/corporate records in the share drive and update as needed
    • Scan and upload executed contracts and agreements in share drive
    • Organize and track Company IT documents (contracts, policies, correspondence, etc.)
    • Prepare/proofread documents for distribution
    • Welcome on-site visitors and notify visiting party of arrival
    • Perform miscellaneous clerical functions and special projects as assigned
    • Review and coordinate mail, invoices and other materials
    • General administrative work for IT Leadership team

    Knowledge, Skills, Abilities and Physical Requirements

    • Bachelor Degree in Finance or Accounting preferred
    • Minimum of three to five years of experience in accounting and/or finance
    • Excellent verbal and communication skills– confidentiality, discretion, judgment, team player
    • Knowledge of accounting principles and practices, and the analysis and reporting of financial data
    • Knowledge of General Ledger, Accounts Reconciliation and Account Analysis
    • Proficiency in Excel with the ability to visually interpret the logic of a complex sequence of excel formulas, and update or change these strings as needed
    • Highly skilled in dealing with financial and numeric data
    • Good communication and interpersonal skills are necessary to build strong working relationships with key business partners
    • Must have excellent work habits, including a willingness to work the hours necessary to get the job done, especially when important deadlines cause greater than normal departmental pressures
    • Ability to maintain confidential information
    • Strong time management and organizational skills
    • Ability to independently perform multiple tasks involving complex information, conflicting deadlines and constantly changing deadlines
    • Analytical skills with focus to detail

    • Requires excellent interpersonal communications skills.
